Charlie Company Policies and Procedures

Effective Date: March 25, 2025

1. Estimates

Validity:

All estimates provided by Charlie Company are valid for 30 calendar days from the date issued. After 30 days, prices, materials, and availability may be subject to change due to fluctuations in market pricing and scheduling demands.

Details:

Each estimate includes a detailed scope of work, labor, materials, estimated timeline, and total projected cost. Any adjustments requested by the client after estimate approval (design changes, materials upgrades, add-ons, etc.) will be subject to a revised estimate and may result in scheduling changes.

Note: Estimates are based on visual inspections and current site conditions. If we uncover hidden damage (such as rot, structural failure, or unsafe framing), we will inform the client immediately and provide an updated quote for required repairs.

Acceptance:

To officially approve the estimate and reserve your project in our calendar, we require:

A signed service agreement, digitally or physically

A 25% non-refundable deposit based on the total project cost

The deposit secures materials, labor allocation, and your place on our project schedule. No work will be scheduled or materials ordered until the agreement is signed and the deposit is received.

2. Booking & Scheduling

Booking Confirmation: Once the estimate is approved and the deposit is received, your project will be added to our official schedule.

Start Dates: Start dates are tentative and subject to change based on weather, material availability, and project flow.

Communication: You will receive regular updates via text or email leading up to your project start date.

3. Before We Arrive – Homeowner Responsibilities

To ensure an efficient and safe work environment, we kindly request that you:

Clear the Work Area: Remove patio furniture, grills, decorations, plants, or other objects around the deck area.

Secure Pets and Children: Keep pets indoors and children supervised while our crew is on-site.

Provide Access: Ensure our team can access electrical outlets and outdoor water hookups.

Notify Neighbors (if needed): Especially in tightly spaced neighborhoods or HOA-managed properties.

4. During the Job

Work Hours: Our standard hours are 7:30 AM – 4:30 PM, Monday through Friday.

Noise & Disruption: Construction will involve noise and equipment.

We do our best to minimize disruption and clean up daily.

Safety First: Please avoid walking on or around the work zone for your safety.

5. After the Job

Final Walkthrough: We will conduct a walkthrough with you to ensure satisfaction and go over maintenance recommendations.

Touch-Ups & Adjustments: Any touch-ups or punch-list items will be scheduled promptly.

Warranty Details: You will receive digital or printed warranty information upon project completion.

6. What We Are Responsible For

Charlie Company is responsible for:

Performing work to the specifications outlined in your contract

Communicating clearly and proactively throughout the process

Using only materials and products outlined in the scope

Keeping the job site clean and safe

Meeting all local building codes and best practices

Addressing warranty-related concerns under our terms

7. What We Are NOT Responsible For

Charlie Company is not responsible for:

Pre-existing conditions (rotting joists, settling foundations, prior contractor mistakes)

Delays due to weather, supplier issues, or client-induced reschedules

Damage to unsecured or unremoved items near the worksite

Color variations in wood or stain caused by moisture, sun exposure, or manufacturer batch inconsistency

Warranty claims resulting from lack of proper maintenance

8. Payment Options

We currently accept:

❌ We do not accept cash or payment apps (Venmo, Zelle, CashApp) for bookkeeping and legal reasons.

Payment Schedule:

25% Deposit – To secure your spot and order materials

50% Mid-Job Payment – Due on the first day of work

25% Final Payment – Due upon walkthrough and completion

9. Cancellation Policy

Jobs canceled within 5 business days of the scheduled start date may be subject to a 10% cancellation fee.

Material restocking fees may apply if specialty products have already been ordered.

Deposits are non-refundable once scheduling and procurement have begun.

10. Service Area Policy

Charlie Company currently services the following Tennessee communities:

Franklin, Brentwood, Belle Meade, Green Hills, Forest Hills, West Meade, 12 South, The Nations, Sylvan Park, and East Nashville.

We do not travel outside these areas unless approved in advance for large-scope projects.

11. Photo & Marketing Consent

Charlie Company reserves the right to photograph and document all projects before, during, and after completion. These images may be used for marketing, advertising, social media, training, and portfolio purposes across all platforms.

By booking services with Charlie Company, the client grants us full and unrestricted rights to use photos and video content of the work performed on their property. This includes, but is not limited to, use on our website, social media channels, digital ads, promotional materials, and printed publications.

These images will never disclose your personal identity, address, or any sensitive information.

If you have specific privacy concerns, please notify our office in writing prior to your project start date.
